Travel Portal is operated by Safari Portal LLC, hereinafter referred to as "us," "we," and "our." This privacy policy outlines the information processing procedures related to the sites and applications where this policy is posted. By using Travel Portal, you agree to our Privacy Policy as detailed below. Any terms not explicitly defined in this document carry the definitions provided in our Terms of Use.

This Privacy Policy applies to all registered users of Travel Portal (Travelers & Travelers’ Guests).

Children

Individuals under the age of 18 are not permitted to use the Travel Portal without supervision, and we kindly request that children refrain from submitting any personal information to us. If you are under the age of 18, you may only utilize the Travel Portal under the guidance and supervision of your parents or legal guardians.

Data Controller and Processor Role 

Depending on the specific data and the nature of its processing, Safari Portal LLC may act as either a Data Controller or a Data Processor. This role determination is made in compliance with applicable data protection regulations and is as follows:

  • Data Controller: Safari Portal LLC may act as a Data Controller when determining the purposes and means of processing Identity, Contact, Technical and Usage  Data independently. In such cases, Safari Portal LLC takes full responsibility for data processing activities.

  • Data Processor: Safari Portal LLC may also function as a Data Processor when processing data on behalf of the Travel Agency. We collect Client Data exclusively for the Travel Agency, following their instructions. This means the Travel Agency controls Client Data you provide on the Travel Portal. In this role, Safari Portal LLC is the Data Processor, and the Travel Agency is the Data Controller. As the Controller, the Travel Agency must comply with the General Data Protection Regulation (for EU data subjects) or other applicable regulations in their jurisdiction. If you choose not to share this information, please contact your Travel Agency.

Data we collect:

  • Identity Data includes your name;

  • Contact Data includes your email address;

  • Technical Data includes information about how you access Travel Portal, such as: IP address, login details, the type and version of your web browser, your time zone and location, types and versions of browser add-ons, operating system and device platform, other technical details about the devices you use to visit the Travel Portal;

  • Usage Data refers to details about how you interact with Travel Portal;

  • Client Data includes the personal data about a client (the traveler) such as name, email, phone number, mobile number, and date of birth. It may also involve travel-related details, like passport information, special occasions you're celebrating, flight and transfer information, itinerary, and travel insurance. Moreover, Client Data may include sensitive details from you, such as weight, health or medical issues, allergy information, dietary preferences or restrictions, and information about children. 

How we collect your personal data 

  • Direct Interactions

We obtain your Identity, Client Data through direct interactions when you сreate an account on Travel Portal.

  • Automated Technologies or Interactions

We may gather Technical Data about your device, browsing activities, and preferences through automated technologies or interactions. This data may be acquired through the use of cookies, server logs, and similar technologies.

  • Third parties 

The Travel Agency may have already collected some of your information and entered it into Travel Portal. If you want this information deleted, corrected, or wish to exercise any of your data subject rights (you can find more about these rights in this Privacy Policy), please contact your Travel Agency. If the Travel Agency requests Travel Portal to erase or correct any of your information, Travel Portal will do so promptly.

How we use your personal data

The lawful bases we rely on for processing personal data are:

  • When it is necessary to fulfill a contract we have with you, such as our Terms of Use;

  • When it is in our legitimate interest to process the data; 

  • Where we need to comply with a legal or regulatory obligation;

  • When we have obtained your consent.

We collect your data so that we can:

  • Enable users to create accounts;

  • Efficiently administer and operate Travel Portal;

  • Notify you of important information relating to your travel plans.

Your rights under GDPR

  • The right to access

You have the right to request for copies of your personal data. 

  • The right to rectification

You have the right to request that we correct or complete any information you believe is inaccurate or incomplete. 

  • The right to erasure

You have the right to request that we erase your personal data, under certain conditions.

  • The right to restrict processing

You have the right to request that we restrict the processing of your personal data, under certain conditions.

You have the right to object to our processing of your personal data, under certain conditions.

  • The right to data portability

You have the right to request that we transfer the data that we have collected to another organization, or directly to you, under certain conditions.

  • The right to withdraw consent

You have the right to withdraw your consent, where the processing of your data is based on your consent. If you withdraw your consent, we may not be able to provide you with access to all or parts of our websites and service.

  • The right to complain

The right to complain with the supervisory authority responsible for data protection matters (e.g., in the UK, the Information Commissioner’s Office). You can find a good overview of EU data protection authorities via the website of the European Data Protection Board.

You will not have to pay a fee to access your personal data (or to exercise any of the other rights). However, we may charge a reasonable fee if your request is clearly unfounded, repetitive or excessive. Alternatively, we may refuse to comply with your request in these circumstances.

Disclosure of Personal Information we collect about you

You have the right to know:

  • The categories of personal information we have collected about you;

  • The categories of sources from which the personal information is collected;

  • Our business or commercial purpose for collecting or selling personal information;

  • The categories of third parties with whom we share personal information, if any; 

  • The specific pieces of personal information we have collected about you.

Right to Deletion   

Upon receiving a verifiable request from you, we will:

  • Delete your personal information from our records; and

  • Direct any service providers to delete your personal information from their records.

Protection Against Discrimination   

You have the right to not be discriminated against by us because you exercised any of your rights under the CCPA.

Third-party links

Travel Portal might have links to third-party websites, plug-ins, and applications. If you click on these links or use these connections, it could enable third parties to gather or share information about you. We don't oversee these third-party websites, and their privacy policies are beyond our control. When you exit Travel Portal, we suggest that you review the privacy policy of each website you access.

Cookies and Tracking Technologies

To enhance our services and provide more convenient and relevant experiences for our users, we may use technologies like "cookies," "web beacons," and similar devices to monitor your activities. A cookie is a small piece of data sent to your browser by a web server and can only be read by the server that issued it. It functions as your identification card and allows us to store your passwords and preferences. Importantly, it cannot execute code or transmit viruses. A web beacon, on the other hand, is a tiny, transparent .gif image embedded in an HTML page or email, enabling us to track when the page or email has been viewed.

Data sharing and transfer 

We may have to share your personal data with service providers acting as processors who provide IT and system administration services. We will never sell, rent, or lease your personal information to a third party. 

Travel Agency may share Client Data with entities worldwide, such as when making hotel bookings on behalf of a client. You should refer to the privacy policy of the relevant  Travel Agency to understand how your personal data will be handled by third parties concerning specific bookings.

Since our servers are located in the United States, your data may be transferred to, stored, or processed in the United States. By using Travel Portal, you understand and consent to the collection, storage, processing, and transfer of your data to our facilities in the United States. 

Wherever your personal information is transferred, stored or processed by us, we will take reasonable steps to safeguard the privacy of your personal information. These steps may include implementing standard contractual clauses where recognized by law, obtaining your consent, or other lawful means of transferring personal information.

Data security

We have implemented security measures to maintain the highest levels of data protection and user privacy, including SSL encryption and password encryption. Additionally, access to your personal data is restricted to individuals, including employees, agents, contractors, and other third parties, with a legitimate business need to access this information. They will only process your personal data as per our instructions and are bound by strict confidentiality obligations.

Data retention

As a Data Processor, we are committed to retaining Client Data in accordance with the policies and instructions of the Data Controller, which is typically your travel agency. We do not independently determine the data retention periods for Client Data.

Identity Data and Technical Data will be retained for as long as is necessary to carry out the purposes set out in this Privacy Policy (unless a longer retention period is required by applicable law).

In establishing the suitable retention period for Identity Data and Technical Data, we take into account factors such as the volume, type, and sensitivity of the personal data, the potential risks associated with unauthorized access or disclosure, and the objectives of processing your personal data. 

Changes to the privacy policy 

We may update this Privacy Policy. We will notify you of any significant changes by posting a notice on our websites. We recommend checking this policy periodically to stay informed and ensure you are aware of any updates.
