Frequently asked questions.

  • Loading content into systems in the past has been painstakingly slow, so it is understandable that the idea of having to re-load it all into a new platform can feel daunting. But it’s honestly so quick to create itineraries in Safari Portal this really hasn’t been a stumbling block for the thousands of users who have already moved over to Safari Portal.

Our intuitive inline editor makes it very easy to drag and drop images into the Media Library, and copying and pasting text into the text areas is really fast. You will also find that the quality of images and pages already available in our Content Library is quite extensive, and world-class. You can always customize any page we have already created in the Content Library if you want to individualize it for your own needs or put your own spin on it. Safari Portal is designed to make your life easier, not harder!

If you were previously manually creating PDF itineraries, in a pinch you could always simply attach that as a document in a Safari Portal itinerary that otherwise just has an intro note and maybe the flights listed out and this way your guests can easily use the Travel Portal app while they are traveling.

We can also offer custom set-up packages if you would like our content team to create the assets you need in Safari Portal so that you can hit the ground running once you sign up.

  • Safari Portal was designed and created by a team of tour operators with deep experience in the industry - we have been where you are now! We know your pain and we set out to very thoughtfully create solutions for some of our most challenging pain points: namely, to be able to create really beautiful, fully customizable itinerary proposals and detailed travel plans that can accurately reflect not only our personality and expertise but also the attention to detail and energy that we put into each and every trip that we plan.

Safari Portal digital itineraries can be fully customized to be completely on-brand, using your own brand fonts, colors, and styles, so that the itineraries you share feel like you. Your guests can access everything they need in a super easy to use app, and you can make live edits even from your phone on the go. Possibly the best part is how quick and easy it all is - itineraries can be created and individualized in minutes. Truly: this is where design meets efficiency.

  • Yes! Your guests receive complimentary access to our amazing traveler app, Travel Portal, where they can find all their itineraries, lookbooks, guest portals, and documents offline in one place, all available at their fingertips! The Travel Portal app is available on both Android and Apple devices.

  • Yes! You can generate a simple and clean, print-friendly PDF either with or without images. You can also generate a Word document which is editable.

  • Safari Portal pricing starts at $199/month and goes up depending on your specific needs. The Starter Plan starts at $199 per month and offers access for one user to the Safari Portal Content Library, inline editor, and unlimited lookbooks. Most users opt to start out on a Tier I plan, which is $299 per month and includes unlimited itineraries and access to the app. Tier II unlocks two more user seats (three in total) and use of the Guest Portal functionality where you can collect guest information like passports, health & dietary, contacts and more, as well as custom itinerary links for a polished and professional look (ie, itineraries.your-company-name.com/rachels-itinerary).

We also offer add-on features if you need additional seats, white labeling (so that you can apply other companies’ logos & contacts to the itineraries you create), language translation, and custom APIs.

  • The Safari Portal API is able to connect to some quotation systems so that you can build a quote for a trip and at the same time generate a Safari Portal itinerary link by simply clicking a button from within that system. We already have existing API’s available to Tourplan & Pink Elephant, and others have connected to Sugati and custom quotation platforms. Usually, all service items in the quotation system need to first be mapped to the content pages in Safari Portal, which is a relatively quick set-up and only needs to be done once.

  • We have an amazing (and super easy) Google Sheets integration that automatically adds all client information collected within the system to a running Google Sheet. From there, it is possible to use something like Zapier or Integrately to automatically pull that information into almost any CRM of your choice.

  • You can collect and store guest contact information in the Guest Portals once a trip has confirmed, and you can can also store some personal information as long as your guests agree to their information being kept on file. You are also able to see when and where your itineraries are being viewed. However, Safari Portal is not a full-blown CRM and full client exchanges are not captured on the platform.

  • Safari Portal is strictly proposal software and so the platform does not have a quoting capability at present. Most of our users receive their quotes from their DMCs or suppliers and add a mark-up, or they use spreadsheets or a third party quotation platform. Either way, you can simply add the quote information to the "costs" page of any itinerary proposal to share with potential guests.

You can also easily upload a PDF invoice via the Element Library or hyperlink to a “pay now” gateway if you prefer your guests to pay that way.

  • Oh, yes! We offer a two week free trial with dedicated support to make sure you have a chance to fully explore all the special features before making any decision.

If you do decide to sign on, there is no commitment or long term contract and you can always cancel anytime.

Most people will sign on to start month-to-month and then eventually move to an annual plan to take advantage of a “Pay 11, Get 12” one month free offer.

  • It is possible to use Safari Portal in other languages, but there are some limitations.

For example, we have a language translation feature via a DeepL integration that is accessible on the client-facing links only.

You can also create content in your Content Library in other languages, and pull those pages into your itineraries and lookbooks, but dates and some other details will still show in English (unless your guests make use of the translation widget when they are viewing the links).

Guest Portals are not fully translatable (for example, the guest forms are in English, and the invitation email is sent in English).

The pop-up to launch itinerary links in the app appears in English, but the Travel Portal app itself is localized, meaning it will pick up the language from the device settings.

  • So many questions! Yes, we can do all of this for you as part of a set-up package. We can use your custom fonts, colors, and styles to make everything you create and share through the platform feel like a natural extension of your brand. Costs start at around $1,000 depending on the level of customization you require and the number of rounds of revisions. The process typically takes about two weeks but can be done quicker if you require expedited service.

Custom templates don’t work backwards, meaning you must start from your custom template first to use it, and they don’t affect the PDF or Word versions (though it is possible to also customize the Word export if needed).

  • Good question! The magic of Safari Portal is that it has SO much capacity for customization that you can find a multitude of ways to make your itineraries look & feel unique. You can choose your own images, use your own unique pages and copy, and present your itineraries using different layouts and modules.

And of course the ability to have your own custom itinerary template means that while you may be using Safari Portal as your backend, the digital links you share feel like you, and nobody else.

  • Our support team is ah-mazing! There are a few different ways that we support you throughout your Safari Portal journey:
